The goal is not to replace the HR team; it is to reduce routine work, improve employee access to HR services, and create a clear and traceable path for HR processes.

How it runs

    Understanding HR processes

    First, everyday HR processes, frequently asked employee questions, automatable requests and points requiring HR or management involvement are analysed. We define exactly what responsibilities the agent should have and when it should not make decisions on behalf of a human.

    Building the HR knowledge system

    Company policies, internal rules, contracts, files, databases and other required sources are structured. When needed, the agent is connected to these sources through RAG so responses are based on the organisation's actual and up-to-date information.

    Connecting to organisational systems

    When required, the agent is connected to HRM, CRM, databases and other operational systems used by the organisation. This allows it to retrieve required information, check request status, and register or update information within its defined scope.

    Automating HR services and requests

    Services such as guidance on leave, benefits, insurance and contracts, request management, information registration, onboarding checklists and manager feedback collection are defined within the system. When connected to an attendance system, relevant information can also be used within defined processes.

    Escalation and access control

    Not every request should be answered or executed by the agent. For cases requiring HR review, management decisions or information outside the system's scope, an escalation path is defined. Depending on the request, the agent can forward it to HR, create a ticket, notify a manager, or state that the requested information is not available in the system when the request is completely outside its scope.

    Testing, deployment and development

    Real employee scenarios, information access, responses, request registration and escalation paths are tested. After deployment, feedback and frequently recurring cases are fed back into the system to make the processes more accurate and stable over time.
