Reporting Automation
From collecting scattered data to producing reports, analysing trends and delivering management insight; a system that unifies data from several sources, generates reports on its own, and makes the information available for analysis when it is needed.
This is for you if
- Preparing management, financial or inventory reports takes a significant amount of the team's time.
- The data those reports need is spread across databases, CRMs, spreadsheets and assorted files.
- Producing a report means collecting information from several systems by hand and reconciling it.
- Instead of static reports, you want to see how things changed and how one period compares with another.
- Managers need to ask questions about the data directly and get an answer grounded in the real numbers.
- You want the reports available on a schedule, or updated as things happen.
When not to hire me for this
If you only need an Excel file or one fixed report put together by hand every so often, building a reporting automation system is probably unnecessary. This service makes sense when the data comes from several sources and the goal is not simply to display it, but to turn collection, integration, reporting and analysis into a process you can rely on.
How it runs
- 1
Analyse the reporting requirement
We first define which reports are needed, which metrics have to be calculated, who has access to each one, and how often they should be produced or refreshed.
- 2
Identify and connect the data sources
The sources — database, CRM, spreadsheet, files — are reviewed and connected, so the information needed arrives from several places into one defined structure.
- 3
Integrate and prepare the data
The data that arrives is structured and reconciled across sources. Where a record is incomplete or wrong, the system can detect it and raise an alert or an error report for whoever is responsible.
- 4
Design the reporting logic and KPIs
The logic for calculating the metrics and assembling the reports is defined, from financial and inventory reports to management reports and custom KPIs.
- 5
Period and trend analysis
The system can compare one period against another, show how things are moving, and offer analysis and suggestions based on the data it holds.
- 6
Build the data interaction layer
Where it is useful, a manager or a user can ask a question about the data directly. The system reads the question and answers from the information in the connected sources.
- 7
Dashboards, delivery and scheduling
Reports can appear on a dashboard or a dedicated panel and be delivered at set times through Telegram or another defined channel. Where it matters, the figures can also refresh as they change.
- 8
Testing, deployment and optimisation
Calculation accuracy, data integrity, who may see what, the report schedule and overall performance are all checked; after deployment the system grows with what the business actually asks of it.
What you are left with
One reporting system that takes data from several sources, produces the management, financial and inventory reports, allows periods to be compared and trends to be read, and puts the result in front of the right people when they need it — and, where it helps, lets a manager ask the question directly instead of reading four reports to find the answer.
